This Electronic Communications Policy outlines how Spencer's Website communicates with users and the standards for acceptable communication through our platform.

1. Overview

We communicate with users through various electronic channels including email, our internal Smail messaging system, and in-platform notifications. This policy ensures transparency about our communication practices and sets expectations for user behavior.

2. Communication Methods

We use the following methods to communicate with users:

  • Email: External email communications (account-related, security alerts, marketing)
  • Smail: Internal messaging system for user-to-user and admin communications
  • In-Platform Notifications: Banners, alerts, and announcements displayed within the website
  • Yaps Chat: Public chat system for community discussions

3. Email Communications

3.1 Transactional Emails

We send transactional emails related to your account, including:

  • Account registration and verification
  • Password reset requests
  • Payment confirmations and receipts
  • Subscription status changes
  • Security alerts (suspicious login attempts, account changes)
  • Policy updates (material changes only)

Transactional emails cannot be opted out of as they are necessary for account security and operation.

3.2 Marketing Emails

We may send marketing emails about:

  • New features and updates
  • Special promotions or discounts
  • Community events
We do not send marketing emails. Spencer's Website does not engage in email marketing. You will only receive transactional emails necessary for account operation.

3.3 Email Frequency

We limit email communications to what is necessary for account operation. You will not receive excessive or unsolicited emails from us.

4. Smail (Internal Messaging)

4.1 What is Smail?

Smail is our internal messaging system that allows users to send private messages to other users and administrators. Smail messages are stored on our servers and accessible only to the sender and recipient.

4.2 Smail Access

  • Community accounts: Cannot send or receive Smail messages
  • Paid accounts: Full Smail access for user-to-user messaging
  • Administrators: Can receive Smail from all users for support inquiries

4.3 Smail Content Standards

Smail messages must comply with our Community Standards and Acceptable Use Policy. Prohibited content includes:

  • Harassment, hate speech, or threats
  • NSFW or sexually explicit content
  • Spam or unsolicited advertising
  • Illegal activities or content

4.4 Smail Privacy

Smail messages are private between sender and recipient. However, administrators may access Smail messages for:

  • Moderation and safety investigations
  • Responding to user reports
  • Legal compliance (court orders, subpoenas)

5. System Notifications

We display in-platform notifications for:

  • Account status changes (warnings, suspensions, terminations)
  • New features or announcements
  • Maintenance windows or service disruptions
  • Security alerts (data breaches, password recommendations)
  • Promotional banners (rare, for major updates)

Notifications are displayed as banners, alerts, or announcement boxes within the website interface.

6. Acceptable Communication Standards

Users must follow these standards when communicating through our platform:

  • Be respectful: Treat others with courtesy and respect
  • No harassment: Do not send unwanted, threatening, or abusive messages
  • No spam: Do not send repetitive, unsolicited, or meaningless messages
  • No impersonation: Do not pretend to be staff, administrators, or other users
  • Report abuse: Use the "Report" feature to report inappropriate communications

7. Anti-Spam Policy

We prohibit spam in all forms of communication, including:

  • Unsolicited advertising of external services
  • Chain letters or pyramid schemes
  • Repetitive identical messages
  • Mass messaging to multiple users without consent
  • Automated messaging bots without authorization

Violations of our anti-spam policy may result in warnings, time removal, or account termination.

8. Opt-Out Preferences

8.1 Email Opt-Out

Since we do not send marketing emails, there are no marketing email opt-outs required. Transactional emails cannot be opted out of as they are necessary for account security.

8.2 Smail Preferences

You can manage Smail preferences in your account settings:

  • Block specific users from sending you Smail
  • Disable Smail entirely (you will not receive messages from other users)
  • Set notification preferences for new Smail messages

8.3 Notification Preferences

You can manage in-platform notification preferences in Settings > Notifications. Options include:

  • Enable/disable specific notification types
  • Set notification display preferences
  • Configure notification sounds or visual alerts

9. Communication Security

We implement security measures to protect your communications:

  • Encryption: All communications are encrypted in transit using TLS 1.3
  • Authentication: Only logged-in users can access Smail and send messages
  • Rate Limiting: We limit the frequency of messages to prevent spam
  • Content Filtering: Automated systems detect and block prohibited content
